Automate passenger messages: pre-reservation, arrival, departure

The automation of passenger messages responds to a concrete problem: “Where to park? », “The digital code? », “Can we arrive at 10 p.m.?” » — the tenth time this month. The short answers are also on the Host practical FAQ.

Responding with kindness is noble. Doing it at 11 p.m. the day before a check-in, on four platforms, with twelve accommodations, is a bottleneck that costs reviews, sleep and billable time. Automation is not impersonalization: it is the implementation of reliable answers at the right time to free your attention on cases that really deserve a human. This guide covers the full cycle — pre-booking, confirmation, pre-arrival, stay, departure — with models ready to adapt and the limits to be respected in 2026.

The essential things to remember

Apply the 80/20 rule: automate repetitive information and keep the human touch for disputes and emergencies. Divide your communication into six phases — pre-reservation, confirmation, pre-arrival, arrival, stay and departure — with one to three messages maximum per phase. The most effective lever remains the digital booklet coupled with personalized models with first name, dates and stable link. To measure your progress, follow these KPIs: first response time less than one hour, reduction in recurring questions, and human escalation less than 25% of exchanges.

Automate passenger messages without dehumanizing

Travelers don't expect a poem with each message: they expect clear, rapid and accurate information. LCD satisfaction studies show that first response time correlates strongly with the overall rating — sometimes more than champagne on arrival.

Automate allows you to maintain a response rate greater than 90% without a team available 24 hours a day, to standardize instructions (and reduce errors between co-hosts), to translate once and distribute everywhere, and to trigger the right content at the right time — the access code on the day, not five days before.

On the other hand, automation should never hide a real failure, send a wrong code or respond to a complaint with a generic template such as “thanks for your message”. Keep a simple rule: 80% automated, 20% human on exceptions.

Mapping of the travel message cycle

Divide your communication into six distinct phases, each with a trigger, an objective and a preferred channel:

PhaseTriggerObjectiveTypical channel
Pre-bookingRequest or questionConversion, filteringOTA messaging
ConfirmationReservation confirmedReassure, frameworkOTA + email if direct
Pre-arrival D-3 to D-1Check-in date nearPractical information, expectationsOTA + optional SMS
Arrival D0Check-in timeCodes, access, emergencyOTA + booklet
StayNight 1 at N-1Discreet well-beingBooklet + messaging
DepartureCheck outExit instructions, noticesOTA + email

Each phase requires 1 to 3 messages maximum well-written. A burst of ten notifications generates more confusion than satisfaction.

Astuce

Write your models as if the traveler had not read any previous message: repetition of a context line (“Welcome to 12 rue des Lilas for your stay from 14 to 18”) + booklet link + emergency number. Messages that involve chain reading generate 50% of repeat questions.

Pre-booking messages: convert and filter

Before booking, the challenge is twofold: respond quickly and qualify the stay without being intrusive. Several types of messages can be automated semi-automatically: availability with reminder of maximum capacities and minimum nights, parking information (exact address, height of the garage, alternatives), the animals policy if applicable (see our guide animal policy, and requests linked to an event or party, referred to the internal regulations without prior accusation.

On Airbnb, use quick replies; on live, a light chatbot or an FAQ on the reservation page reduces incoming volume. The AI in concierge can offer a first draft — always reread before sending on sensitive cases (accessibility, baby bed, travelers with disabilities).

Never automatically promise an unvalidated exemption (no pets accepted, overcapacity). The template must clearly indicate: “I will check and get back to you within X hours. »

Confirmation message: anchor the relationship upon reservation

As soon as the reservation is confirmed, send a single message the same day (D0 reservation) which contains:

  1. A personalized thank you (first name, dates).
  2. A summary: neighborhood address (not necessarily the number), check-in and check-out times.
  3. The link to your digital booklet — consult our Airbnb booklet guide.
  4. A request for estimated time of arrival (form or free response).
  5. A reminder: the official channel is for emergencies only.

If you use Majordia, the booklet updates only once: your messages only need to point to a stable URL. Consult the features to link booklet, upsells and passenger register.

Pre-arrival messages: avoid 80% of calls

Pre-arrival messages are your best defense against last-minute calls. Three days before (or two in very urbanized areas), send transport information from the station or airport, shops open late, the local bakery and pharmacy, a reminder about the tourist tax if you collect it separately, and the link to the guide autonomous check-in if applicable.

The day before arrival, add a weather or luggage tip (rain, beach), without yet providing the code if security requires it — instead indicate the sending time (often 2 p.m. or 3 p.m. on the big day). Also communicate the technical emergency number (plumber, locksmith), separate from personnel.

On the morning of the big day, send the access code, the key box or connected lock, the Wi-Fi identifiers (SSID and password, also present in the booklet), and a reminder about silence after 10 p.m. as well as the procedure for the trash cans.

Messages during the stay: discretion and detection of problems

Avoid daily spam. Two points of contact are generally sufficient: the evening of the first night, around 6 p.m., with a message such as “Is everything as you expected? Reply to this message if something is missing”, and mid-stay for stays of five nights or more, with an offer for intermediate cleaning or linen change if you market this service.

Set up a human alert if the traveler responds “problem”, “leak” or “no heat” — via keywords in your tool or a manual rule. The automation stops there; a human takes over within thirty minutes.

Upsells (late checkout, local activity) go better through the booklet than through OTA messaging: it is less intrusive and more compliant with the platforms' conditions of use.

Departure messages: smooth check-out and notices

The day before departure, remind us of the check-out time, the location to leave the keys, the instructions for trash cans and selective sorting. Invite the traveler to report any accidental damage before their departure: transparency reduces post-stay disputes.

The day after departure (D+1), send a thank you message and a neutral invitation to leave a review, without financial incentive. For direct customers, add a link to a next stay with a loyalty advantage. Automate this message 48 hours after check-out, not two hours later: leave time to clean and breathe.

CGU and GDPR compliance for automation

Automation amplifies a compliance error: check each template with the up-to-date platform T&Cs. On Airbnb and Booking, you cannot send a direct link to a competitor before the confirmed reservation, nor request an off-platform payment for an OTA stay. On the personal data side, store emails and telephone numbers collected directly with a legal basis (contract) and a defined retention period. Finally, certain messages may remind you of the obligation to transmit an identity document for the travelers register, without storing an unsecured copy by email.

KPI passenger messages: measuring effectiveness

To know if your templates are working, follow five simple indicators. Aim for a median first response time of less than an hour. Monitor the number of guest messages per stay: a drop signals that your templates and booklet cover recurring questions. Analyze the questions still asked to add them to the booklet. Manually read the communication note in the reviews each month. Finally, measure the human escalation rate: if it exceeds 25%, your templates are probably too vague.

A simple table in Notion or Excel is sufficient for a portfolio of less than ten properties; beyond that, integrate the exports of your PMS.

Ready-to-use travel message templates

Confirmation: “Hello {first_name}, thank you for your reservation from {arrival_date} to {departure_date}. Your booklet (access, Wi-Fi, recommendations): {livret_link}. Please indicate your estimated arrival time. For any emergency on the big day: {telephone}. ”

J0 access: “Hello {first_name}, here are your accesses for today: {instructions}. Wi-Fi: {ssid} / {mdp}. Check out tomorrow before {time}. Enjoy your stay! ”

Departure: “Thank you {first_name} for your stay. Check out before {time} — keys in {location}. A sincere review helps us a lot. Looking forward to welcoming you again. ”

Adapt the tone to your brand (warm, premium, family) but keep the structure: context, information, expected action.

Industrialize automation on a multi-asset fleet

When you go from three properties to fifteen or more, structure your automation around a library of variables ({good}, {code}, {livret_link}, {parking}) and a versioning system: when you change a key box code, a single master model updates everywhere. Train your co-hosts not to rewrite a novel with each message, but to escalate complex cases. Finally, do a quarterly review of the last ten disputes to identify what message was missing from your journey.

Passenger message automation FAQ

Does automation lower host rating?

No if the messages are useful and personalized (first name, dates). Yes if you send late generic or incorrect codes — the traveler then feels ignored.

Can we send the access code 5 days in advance?

Not recommended for security and last minute changes (delayed cleaning). The standard is D-day, 1 to 3 hours before check-in, unless documented 24/7 autonomous check-in.

Does Airbnb allow automated messages via PMS?

Yes via official integrations. Avoid unapproved workarounds that risk API blocking.

Can AI respond to travelers on its own?

In 2026, the AI conciergerie helps to write and classify; human validation remains recommended for disputes, refunds and non-catalogue requests.

Does Majordia replace OTA messaging?

No. Majordia complete with booklet, upsells and stay itinerary. Messages remain on the platforms; the booklet reduces the volume. See the Messaging & Integrations FAQ. Prices: /pricing.

In summary: automating messages means mapping the traveler's journey, sending the right information at the right time, and reserving the human for the exceptional. Your future selves — and your 11 p.m. commuters — will thank you.
